📚 Exporting or importing a document : what’s the difference?

Last week, we looked at the difference between the terms 'extract' and 'import', two actions that are often encountered when managing documents and digital files.

This week, we're continuing with another very common point of confusion: the difference between 'import' and 'export'.

These two terms are used daily in many software programmes, apps and online services. However, they refer to two opposite operations which can sometimes be confusing for beginners.

So, what does it actually mean to import a document? And, more importantly, what does it mean to export a file? That's what we're going to find out together in this new IT concept.

📥 What does it mean to import a document?

Importing involves bringing a file into a piece of software, an app or a system so that you can use it.

The document usually comes from your computer, a mobile phone, a USB stick or another service.

Example:

You open Canva and add a photo stored on your computer.

➡️ You import this image into Canva to use it in your design.

Other examples:

Importing contacts into your smartphone.

Importing a video into editing software.

Importing a PDF document into a document management system.

📤 What does it mean to export a document?

Exporting involves transferring a file out of a piece of software or a system so that it can be used elsewhere.

Exporting generally allows you to create a final version or one that is compatible with other software.

Example:

You've finished designing a poster on Canva.

➡️ You click on 'Export' or 'Download' to save your design as a PDF or PNG file.

Other examples:

Exporting an Excel spreadsheet as a PDF.

Exporting an edited video as an MP4 file.

Exporting a database as a CSV file.
